AxessPointe recognizes the importance of prioritizing the implementation of new IT processes. The IT needs at AxessPointe primarily revolve around enhancing communication. Collaboration with a vendor is envisioned to address the following priorities:

  1. Restructuring phone lines to establish a more organized communication system.
  2. Integrating phone lines into the Electronic Health Record (EHR) system.
  3. Transferring client-hosted servers to cloud-based platforms.

Effective patient communication is essential, as studies indicate a correlation between improved communication with healthcare providers and better health outcomes and patient satisfaction scores (King & Hoppe, 2013). Integrating phone lines into the EHR system can enhance patient identification, thereby reducing patient safety risks. Moreover, transitioning to cloud-based servers can enhance the efficacy of the EHR, enabling greater patient engagement in their healthcare journey (Chen et al., 2016).

Policies and Human Resource Guidelines

Strong Human Resource (HR) policies are critical for the success of any healthcare organization. AxessPointe’s HR department plays a crucial role in onboarding and educating employees on API policies. Research suggests that investing in employee development and training can lead to reduced turnover rates (Cloutier et al., 2015). AxessPointe’s comprehensive two-week employee onboarding program aims to ensure that new hires are proficient in their roles, familiar with relevant systems, and comfortable with day-to-day responsibilities, contributing to effective employee retention strategies.

HIPAA Evaluation

Compliance with the Health Insurance Portability and Accountability Act (HIPAA) is imperative for AxessPointe as a covered entity. To ensure adherence to HIPAA Privacy and Security rules, all employees are required to undergo annual HIPAA Compliance training. Additionally, staff handling medical records receive specialized training on proper Release of Information (ROI) practices to safeguard protected health information (U.S. Department of Health and Human Services, 2020; HIPAA Journal, 2021).

Electronic Health Records Evaluation

The Electronic Health Record (EHR) system serves as a pivotal tool in connecting all staff involved in patient care at AxessPointe. From front desk staff to clinical personnel, the EHR streamlines workflows and centralizes patient information, enhancing efficiency and security (HealthIT, 2019). Implementing an EHR requires close collaboration between the vendor and IT department, along with comprehensive training tailored to different departments’ needs.

Quality Improvement Initiatives

Quality improvement initiatives are essential for enhancing patient care and optimizing financial outcomes. AxessPointe’s Medication Therapy Management (MTM) program, led by the Pharmacy Department, exemplifies a proactive approach to quality improvement. This program not only generates new revenue streams but also reduces overall care costs and fosters patient-centered care (OPA, 2020; Lorange, 2021).

Information Technology and Administration Collaboration

Effective communication between Administration and IT is critical for achieving organizational goals. Addressing information and technology needs separately can facilitate better outcomes for the healthcare facility (Kambil, 2018). Collaborative efforts between IT and various departments, such as Billing, demonstrate the importance of aligning priorities and leveraging expertise to address operational challenges efficiently.

Conclusion

AxessPointe invites proposals from vendors to address its IT needs outlined in this Request for Proposal (RFP). The deadline for submission is August 13, 2021, with periodic updates provided until a vendor is selected by August 27, 2021.
