Staffing Acquisition Needs and Process

 

The responsibility for securing project resources with department managers to ensure proper allocation of qualified resources lies with the Project Manager (PMBOK, 2017). After Charter approval, the Project Manager communicates this approval to department managers via email and requests specific project resource names and estimated availability for project commencement. The Project Manager is also tasked with identifying roles, defining responsibilities, and acquiring project resources from department managers. These roles include Project Sponsor/Accountable Executive, Business Owner(s), Key stakeholders, Steering Team members, Project Team members, Subject Matter Experts, Operational Support staff, and IT Service Management and Business Continuity roles.

Training

 

The Training Plan within the Project Plan outlines various aspects of training, including the audience (comprising end users and support staff), training approach (such as classroom setting, web-based training, or one-on-one training), content tailored to job responsibilities, schedule considerations, logistical requirements, proficiency criteria, and the absence of training in the infrastructure upgrade project.

Recognition and Reward

 

Recognition and reward play a crucial role in reinforcing desired behaviors within the project team. The team is typically rewarded with lunch during activation, and outstanding performance is acknowledged through certificates of appreciation, shout-outs in newsletters, and direct communication with leadership.

Stakeholder Management

 

Stakeholder engagement is vital, necessitating a Stakeholder Analysis and Engagement plan. The project manager uses a stakeholder analysis tool to identify stakeholders, document their relationship to the change, assess their impact, influence, experience, resources, decision-making authority, and potential resistance. Regular revisions of the Stakeholder Analysis and Engagement Plan are essential throughout the project.

Project Timeline

 

The project timeline, derived from the Work Breakdown Structure (WBS), details project activities based on sequence, timing, dependencies, and resources. Detailed tasks are added through project planning meetings with the project team.

Release Criteria

 

Transitioning the project to support occurs within two to four weeks after go-live. The project manager is responsible for reaching agreements with the Steering Team, product support owners, and the Resolution Center regarding transition timing. Financial closure is contingent on confirming scope delivery, completing budget plans and forecasts, and obtaining approvals for the Project Closure Document.

Safety Component

 

The resource plan incorporates a safety policy aligning with the Trinity Health Code of Conduct and Safety. Adherence to safety principles is expected from all stakeholders, including vendors, with a focus on delivering care and services with compassion, committing to safety, speaking up about quality or safety issues, and discussing mistakes to find solutions.
